Physical Inventory

Physical inventory: the confrontation with reality.

The most powerful ERP in the world is useless if its database is disconnected from what's actually on your shelves. Stock discrepancies — theft, breakage, entry errors — are "silent thieves" that destroy your margins, cause stockouts, and distort your financial statements.

The SoonTech audit protocol

SoonTech is one of the only Odoo integrators that doesn't stop at the keyboard. We deploy our own teams on-site to audit and count your physical stock under a strict protocol.

The 4-step protocol

From frozen database to certified balance sheet

Step 1

[ 01 ]

Database freeze

Odoo is locked — a reference snapshot of all theoretical stock, at that exact moment.

Step 2

[ 02 ]

Count No. 1

Strict blind PDA scan — the theoretical quantity is never displayed.

Step 3

[ 03 ]

Count No. 2

Independent cross-check by a second team, with no knowledge of the first team's result.

Step 4

[ 04 ]

Arbitration & report

A supervisor resolves discrepancies, then automated accounting certification takes over.

[ 01 ]

Field capture & blind counting

After freezing the Odoo database, the SoonTech team is deployed with rugged industrial PDAs (Zebra, Honeywell). No more paper, no more re-typing into Excel.

The count is "blind" — a vital detail: the mobile app never shows the expected theoretical quantity. The agent must scan the barcode and physically count the batch, avoiding any misleading "comfort validation".

Cross-check & discrepancy detection

The audit standard requires strict verification. Team 2 goes back over the zone (Count No. 2). The app hides both the theoretical quantity AND Team 1's count from them. The Odoo server compares the two live.

An alert is generated. The product is flagged and sent to the supervisor's "Arbitration" dashboard.

[ 03 ]

Arbitration (Count No. 3)

The system has detected a human conflict. Someone has to decide. Every discrepant product falls into the arbitration queue. A SoonTech supervisor — or the client's warehouse manager — takes over with elevated permissions.

They physically go to the disputed location, search it (a box hidden behind another pallet, a visual reference error) and perform Count No. 3. This final entry overrides the previous two and becomes the record.

The report & automated accounting impact

The entire warehouse has been counted and arbitrated. With a single click on "Validate Inventory", Odoo compares the final physical stock with the theoretical stock frozen at the start.

The system generates the inventory report, financially valuing your discrepancies. Validating it instantly triggers the corresponding correction entries (automatic debit/credit on variance account 6114 and stock account 3110). The balance sheet is certified, the loop is closed.
